1.  Booking Your Ceremony

Your ceremony date and time are secured once the non-refundable booking fee is received.

This fee covers planning, communication, and script preparation and prevents other bookings for that slot.

The balance of your fee is due 14 days before your ceremony (or at your rehearsal, if earlier).

2.  Payments

Payment can be made by bank transfer unless otherwise agreed.

Invoices include Karolyn’s ABN 86 768 265 615.

Receipts are issued for all payments.

3.  Cancellations and Rescheduling

• The booking fee is non-refundable.

• If cancellation occurs more than 30 days before the ceremony, any balance paid (after the booking fee) will be refunded.

• If cancellation occurs within 30 days, 50 % of the balance will be refunded.

• One date change is available within 12 months at no charge if Karolyn is available.

  Further changes or unavailability are treated as a cancellation.

4.  Travel

Travel is included within a 40 km round trip from Thornlands QLD.

Additional travel is charged at $0.85 per km or by separate quotation.

Accommodation or ferry expenses (for regional/island ceremonies) are payable by the client.

5.  Ceremony Drafts and Rehearsals

Each booking includes:

• Up to two rounds of script edits, and

• One rehearsal within 25 km.

  Extra edits or travel beyond this area may attract an additional fee.

6.  Conduct and Timing

Please ensure the ceremony starts within 15 minutes of the scheduled time.

Karolyn will perform the ceremony with care, professionalism, and sensitivity.

Any behaviour or environment that threatens safety or breaches public laws may result in the ceremony being postponed or ceased.

7.  Legal Requirements (Weddings Only)

For legal marriages, all paperwork required under the Marriage Act 1961 must be provided within statutory timeframes (including Notice of Intended Marriage).

Original identity documents must be sighted, and Karolyn will lodge all legal paperwork after the ceremony in accordance with Australian law.

8.  Use of Photos and Testimonials

Karolyn may request permission to use photographs or written testimonials for her website or social media.

No image or wording will ever be used without your written consent, and permission can be withdrawn at any time.

9.  Privacy and Record Keeping

Personal information and ceremony notes are collected only to prepare and deliver your ceremony.

Marriage documents are kept for seven years as required by law; non-legal ceremony records are retained for up to two years.

All data is stored securely and never shared without consent.

10.  Communication

Most communication occurs by email or phone.

Messages received via social media will be acknowledged but formal confirmations are always made in writing.

Karolyn aims to respond within 1–2 business days.

10A. Children’s Ceremonies – Collaboration and Consent

All ceremonies involving children are created in close collaboration with the child’s parent or legal guardian.

No child ceremony will proceed without the parent or guardian’s written consent and approval of the ceremony content.

This ensures that every child’s comfort, safety, and emotional wellbeing are respected at every stage.

11.  Force Majeure

If an unforeseen event (illness, natural disaster, emergency) prevents Karolyn from attending, she will make every reasonable effort to arrange a suitable replacement celebrant or refund any unfulfilled portion of the fee.

12.  Agreement

By confirming your booking and paying the deposit, you acknowledge that you have read and accepted these Terms & Conditions.
